COVID-19 Vendor Information

Dear Vendors coming to Stonehouse Villa,

Safety is a top priority for us to keep all vendors safe during this time, as well as to make sure vendors are keeping our clients and their guests safe. We've created this page to make all vendors aware of certain policies we are enforcing while working at our venue. This helps eliminate any confusion of expectations and helps allow vendors to know they will be safe while working an event at our venue since we're taking every safety procaution available.

Vendor Protocols To Follow While Attending Event --

 

ALL VENDORS

  • Vendors must self-screen prior to entry for new signs or symptoms of possible COVID-19. If having come into contact with someone who has tested positive for Covid-19 within the last two weeks we highly recommend not working unless having tested negative. If feeling ill or have a temperature of or above 100.0°F please do not work and find a suitable replacement. If able, we recommend getting a rapid result COVID-19 test prior to working the event.

  • Vendors must wash hands for at least 20 seconds with soap and water immediately upon entry to the venue. Please maintain hand washing, or using hand sanitizer throughout the event, especially after interactions with guests.

  • Vendors must wear a mask over the nose and mouth during the full event. Please provide your own mask, and recommend looking into purchasing your own KN-95 masks for working events.

  • Vendors handling food or beverage must wear gloves while handling food/beverage or serving guests. Please change out gloves after each task.

  • Vendors must know the appropriate way to wear a face covering, proper hand hygiene, cough etiquette, cleanliness and sanitation and practice all rigorously.

  • Vendors must disinfect anything that the guests come into contact with.

  • Vendors must maintain at least 6 feet of separation from other vendors and guests of the wedding.

CATERING/STAFFING

  • Limit cross contamination by changing gloves regularly. Change gloves between each task.

  • Provide hand sanitizer station at the buffet and any food related table.

  • If offering a buffet, staff must serve food to guests. Staff should wear mask and gloves while handling food and serving food to guests. Staff must only allow guest to touch the plate at the end of the buffet when handing guest their plate.

  • Make sure guests are wearing a mask when in line for the food buffet. If they’re not wearing a mask please make them return to their table to retrieve it.

  • For dinner service dining tables must be released one by one by catering staff, DJ or coordinator. Catering staff must make sure guests maintain 6 feet separation while waiting at the buffet. Make sure current table has sat down before releasing another table to keep groups separate.

  • Clean and disinfect the area used for dining (tables, etc.) after each group of guests depart, including disinfecting tables and countertops.

  • Do no leave condiments, silverware, flatware, glassware, or other traditional table top items on an unoccupied table. If placing water glass on the dining table prior to guests entering a glass cover must be used. If placing silverware on dining table prior to guests entering it must be rolled in a napkin. If any of these items get touched prior to guests entering please discard and replace. If placing items on tables guests are not permitted to enter reception hall until time.

  • Appetizer tables must be staffed by a server if there are tongs or utensils needed to retrieve appetizers.

  • Self serve drink stations must either be staffed by a server, or placed at the bar and served by the bartender. *Recommend having bottled water at the bar rather than a water station.

  • Cake plates, silverware, napkins and knife and server can only be set out right before the cake cutting. Catering should cut and serve cake from table where cake is cut to guests.

 

BARTENDING

  • Bartenders must wear mask and gloves while serving beverages to guests.

  • Guests should remain 6 feet away from the bar and only approach the bar when the bartender hands them their drinks. Please enforce this! There are tape markers on the floor, please ask guests to wait until their turn and to maintain their spots on the markers.

  • Make sure all guests are wearing a mask when approaching the bar. If they’re not please ask them to get their mask for service. Do not serve a guest without a mask.

  • Discourage the use of straws, if possible for cross contamination reasons.

  • Provide hand sanitizer station at the bar.

OFFICIANT

  • It is up to the officiants discretion for mask etiquette since performing ceremony outdoors, and publicly speaking.

  • Please make sure DJ disinfects lapel mic prior to and after ceremony use.

 

DJ

  • For dinner service dining tables must be released one by one by catering staff, DJ or coordinator. Catering staff must make sure guests maintain 6 feet separation while waiting at the buffet. Make sure current table has sat down before releasing another table to keep groups separate.

  • Masks must be worn by guests AT ALL TIMES (unless seated at their dining table, or socially distancing outdoors). If DJ notices guests not wearing masks please make a reminder announcement in-between songs.

  • Please disinfect microphone in-between guests handling for toasts, or prior to hooking anyone up to a lapel mic and afterwards.

  • Discourage guests from approaching DJ booth - perhaps have a song request book set aside or have a way for them to text/tweet requests.

 

 

PHOTOBOOTH

  • Photo booths must be attended for entire event.

  • Please only allow small groups of guests into photo booth area at a time.

  • If providing props they must be disinfected in-between each group.

  • If photo booth is touch screen attendant must be the only one operating touch screen and not allow guests to operate alone.

 

COORDINATOR

  • Please make sure guests are maintaining social distancing during event, as well as proper mask wearing.

  • Please request for groomsmen and immediate family to have a mask on when pinning boutonnieres.

  • We recommend texting vendors as much as possible to keep socially distanced.
